The Problem

Property managers and home service operators need to answer incoming calls without continuously staffing a receptionist desk. Conventional call trees and premature AI receptionist deployments frustrate callers, cause hangups, and can send revenue or resident trust to competitors. Human agents are more acceptable to callers but require effective routing, current account information, and clear escalation procedures.

Potential Solution

Provide a managed, human-first call answering operation for small property management and home service companies. Trained receptionists use AI-generated knowledge suggestions and caller summaries behind the scenes, but callers always speak with a person and can reach an authorized employee when the issue is complex. Begin with overflow and after-hours coverage, then add appointment intake, resident-request logging, emergency escalation, and follow-up confirmation.

Why Now?

Businesses are actively testing voice AI, but poor caller acceptance and unreliable conversations create demand for a safer operating model. At the same time, improving AI can make human receptionists faster and more consistent without forcing customers to interact with a robot.

How are you handling incoming calls without hiring a receptionist?

You’re just flat out lying at this point. When I worked at a consultancy who implemented AI on the phone we got to hear some of the QA calls. The vast majority was people screaming for a human then getting frustrated and hanging up. Every hang up is a job lost a revenue straight to a competitor. No one likes talking to robots.

Why This 22-Year-Old Selling AI Just Warned Every Home Service Owner

That's, like, always the biggest gripe. And I would have completely agreed with you, like, 18 months ago and been, like, yeah, AI is not worth it. Go with, like, an overseas agent. But you would not believe the speed at which this technology is getting better. Like, it is insane. Even starting back to when we opened up Nail, our first ever client, his name is Dan Blanc of Fence Guys. He's down in Louisiana. You can ask him, too. And we probably even have the call data, but that version of that agent sounded terrible, terrible. Like, it was bad compared to now, right? Like, we actually had a scenario come up recently where one of our voices, so one of our voice providers that we use to answer the calls, they had gone down and it had swapped back to our fallback voice, right?

Um, and a lot of companies I know have, have moved away from that. And they got a call center or an auto responder. So, um, it was always something that was said to us that they like being able to phone our office and get ahold of somebody. And that has always resonated with me that, uh, that's an important feature for a lot of people. And, uh, I think this day and age where, where it's technology driven, it is nice to be able to pick up a phone and just have a conversation with people. And, uh, you know, some people, they just want to be heard and we're very empathetic to that. Um, you know, we'll, we'll take a lot on our, our shoulders as a result. And that's the name of the game is, is being able to take that issue or problem. And turn it around and turn it into something positive and gets done efficiently. Yeah. Oh, great answer. It's, that's actually a really relevant for me right now. We, we actually tested out an AI, uh, uh, receptionist, uh, you know, when you take calls, uh, for just for, just if it was for sales. And we canceled it really quickly. Um, as much as I liked it when I first, they first tested it out, I was like, this is so cool. Everyone's going to love this. Most people did not like it. Yeah. Yeah. Most people hung up on them. Really? Yeah. So people definitely want that human touch. That was a big lesson for, for me thinking, you know, this is going to be fun more than anything. And everyone's going to just enjoy it when they call. No, people didn't take a liking to it. We went right back to now we, we answered the phone again. Yeah. With, with condo management, it's, it's definitely interesting what we're seeing today. Uh, I, I, I always say that the industry never changed for a good 40 years. Uh, it was an old school industry and you did things with, with paper and then the pandemic happened and everything changed and software changed. The way we communicate with people has changed. The technology has changed. Uh, we, we are also are looking at, at AI for our business and we have a, an in house it guy and he keeps telling me, don't do it, don't do it. It's too early things are changing so quickly with AI that once you get involved with something tomorrow, the next day, it could be irrelevant. Yeah.

And I think we're going to see the same thing here. And it just elevates us as a whole to do exactly what you said, which was let's start using our human resources to do more, I'll call them just more meaningful, less tedious things. And that leads to greater employee satisfaction, right? It leads to just better well-being on their part and they're happier at the organization because they can go anywhere and, you know, stuff envelopes. But they want to be somewhere they can, you know, be kind of using their noggin and saying, you know, I want to help problem solve. That's what I want to do. That's what most people want to do. Yeah, I agree. And when you think about this idea of communication, especially resident or even internal, if you can offload all of the tedious communication, the handful of communication pieces or conversations that you have throughout the day can be better because of that, right? You can actually focus on the ones where, okay, this has to be a phone call or this has to be an in-person conversation. You can actually focus on those. Yeah, let's not, let's not, you know, and we're doing that right now, but let's make sure that everyone understands we're not saying humans go away, right? We're saying let's do the things that computers can do and let computers do it. But humans are, right, we always have to have interaction. Nobody wants to, nobody wants to phone call where they call up and all they get is automated and they keep hitting buttons and they can't get anywhere, right? Yeah. Nobody wants that. They want to eventually talk to a person, especially if it's a complicated problem. Now, I had a great experience with my telephone company with a customer service where it was all AI and it was wonderful. I got my answer, my question answered within a couple of minutes, whereas in the past, I might have been on hold for 10 minutes or half hour, who knows, and then try to find somebody who knows the answer. This, it was all AI and my problem, my question was answered almost immediately. That was great. But there are going to be more complex problems that come up where I am going to need to talk to somebody. And that's going to happen in property management all the time because my question was pretty simple. I had a question why there was a certain charge on my statement, okay, and AI could help me with that.
